Advertising Terms

These advertising terms set out how a booking with Hoarfrost Media, published by CANADIAN MILITARY FAMILY MAGAZINE LTD., proceeds from confirmation to run. They apply alongside our general terms of use.

1. Booking

A booking is confirmed once our advertising coordinator sends a written booking summary listing the placement, price, run dates and pages or episodes it will appear on. The three placements and their prices are exactly those published on our rate card.

2. Creative deadlines

For the Valley Community Board, listing text is due no later than two business days before the run starts. For the Seasonal Podcast Series Sponsorship, a host-read script must be approved before the first episode of the sponsored season is recorded. For the Valley Lattice Partnership, creative for each channel (site, newsletter, podcast, article) is due on the schedule set out in the planning call.

Creative received after the relevant deadline may push the run to the next available slot rather than delaying the confirmed dates for other advertisers.

3. Approval

You review and approve your listing text, host-read script or partnership article before it runs. We may request reasonable changes to keep content factual and free of claims we cannot support; final approval rests with you before publication, and with us before anything airs or prints.

4. Make-goods

If a confirmed placement is delayed, omitted or run with a material error on our part, we offer a make-good: an extended run, a rescheduled slot, or an additional mention of equivalent value, at your choice. Make-goods are our standard remedy in place of a refund where the placement can still reasonably be delivered.

5. Editorial independence from advertising

Advertising placements never influence our news coverage. Sponsor credits, community board listings and partner-labelled articles are clearly identified as advertising, kept editorially and visually distinct from our reporting, and are never presented as independent news content. Our newsroom staff do not accept direction from advertisers on editorial matters, and advertising status has no bearing on how a business, event or organization is covered in our news pages.

6. Content standards

Creative material must be accurate, lawful, and free of claims we cannot verify. We may decline or withdraw content that does not meet these standards, in which case the cancellation and refund terms in our cancellation & refund policy apply.

7. Payment

Payment is arranged when a booking is confirmed, at the published price for the chosen placement. We do not negotiate separate rates.

8. Governing law

These advertising terms are governed by the laws of the Province of Ontario and the laws of Canada applicable within it.

9. Changes

We may update these advertising terms from time to time; the date at the top of this page shows the latest revision.
